The main tasks of the Aleph Product Working Group (PWG) according to the IGeLU Statute are
All IGeLU members are entitled to participate in the activities of the Aleph PWG.
The Executive Committee and the Module Coordinators are elected by the PWG. In addition to a Coordinator, who is responsible for the execution of the tasks of the PWG, there is a working body to assist the Coordinator in carrying out these tasks. The Executive Committee consists of the Coordinator and two Deputies. In the development cooperation with Ex Libris the Executive Committee is supported by at least one Module Coordinator for each Aleph module. A Module Coordinator can act as the PWG Coordinator or his or her deputy. There should be Module Coordinators for at least the modules Acquisitions/Serials, Cataloguing, Circulation, ILL, OPAC (GUI/WEB), and System Administration.
The Executive Committee serves for a period of two years. Deputy Coordinators serve for alternating periods of two years, with one stepping down each year. The Module Coordinators also serve for a period of two years.
During the three months prior to the Annual IGeLU Meeting candidates may come forward for the positions available. They announce their candidacy to the IGeLU Steering Committee by email. They have the opportunity to introduce themselves in the PWG section of the IGeLU website and also at the PWG meeting at the Annual Meeting.
The Executive Committee and the Module Coordinators should come from organisations that actually use the product that the PWG is dedicated to. The Steering Committee can reject a candidate if his or her organisation is not a user of the product.
Members currently serving on a working body, including the Coordinator, may stand for a further term.
If the number of candidates does not exceed the number of positions available, there will not be a formal election. The candidates will be subject to approval by the group at the Annual Meeting. If the number of candidates does exceed the number of positions available, there will be a formal election. This takes place at the Annual Meeting or by electronic voting. To give all IGeLU members the opportunity to vote, proxy votes are accepted.
All IGeLU members are entitled to vote in all PWG elections. There is no formal quorum that validates the election.
If there are no candidates at all, the current members of the Executive Committee and the Module Coordinators may serve for another term. If there are no members of the Executive Committee and the Module Coordinators left at all, the IGeLU Steering Committee will take appropriate action.
Should a member of the Executive Committee or a Module Coordinator step down before the end of his or her term, the Coordinator together with the Steering Committee will decide whether it is necessary to call for new candidates for the rest of the term. If the Coordinator steps down before the end of his or her term, new candidates must be called for, unless this happens within six months prior to the next Annual Meeting. In this case, the Steering Committee will take over the responsibilities of the Coordinator, in accordance with the Statute, Art. VI-5d, until the selection of a new Coordinator at the Annual Meeting. Ideally, the members of the Executive Committee and the Module Coordinators should be representatives of different types of organisations: consortia, English/non-English speaking, public/national libraries, university libraries, commercial companies, research institutes.
